Front Desk Apply for a founding place

Say hello to your 24/7 AI receptionist.

Front Desk answers every patient enquiry in minutes and keeps following up until they book. It works on your own number, in your clinic's name.

Three founding clinics for the 2026 intake. We reply in writing, with no sales call.

Your clinic

WhatsApp Business

Saturday 23:47

Susan, 23:47

Hi, do you do knee replacements and how much are they?

23:48

Hi, you're through to the clinic. Quick heads up: I'm an AI assistant working with the coordination team, and a human colleague picks things up whenever it matters.

Yes, we do. A total knee is €12,200 all in: surgery, implant, anaesthetic, three nights in a single room, physio and both airport transfers. Flights and hotel sit outside that.

Which knee is it?

Susan, 23:52

Right one. Been waiting 14 months on the NHS.

23:53

That's a long wait. Have you had an X-ray of it?

The office is shut at this hour, so I'll get things moving now and Joan will pick it up first thing.

From first message to booked treatment

A receptionist for patients who are thousands of miles away, comparing four clinics at once, and deciding over weeks.

1

It answers

Every enquiry gets a real reply within five minutes, at any hour, in whatever time zone the patient lives in. Prices, inclusions, dates and travel, straight away.

2

It qualifies

It collects age, weight, medications and imaging, and checks them against rules your surgeons wrote and signed, so your coordinators open a file that is already complete.

3

It follows up

Patients take weeks to decide. It keeps the thread alive with your information until they book a date or tell you no.

Your team covers 45 hours. Patients message across 168.

A coordinator working 09:00 to 18:00, Monday to Friday, is present for the filled cells. A patient comparing four clinics sends four messages on the same evening and forms an opinion from whoever replies first.

A week of hours, staffed against unstaffed A grid of 168 cells, one for each hour of the week. The 45 cells covering 09:00 to 18:00 Monday to Friday are marked as staffed. The remaining 123 hours are unstaffed. 00 03 06 09 12 15 18 21 Mon Tue Wed Thu Fri Sat Sun
Every cell is one hour of one week. 45 are staffed and 123 are not.

Eighty-five enquiries became three bookings.

Our own numbers, from one sample month. We are a UK company that sends patients abroad, so these are enquiries we answered ourselves.

Enquiries, qualified patients and bookings in one month Eighty-five enquiries produced seventy-two qualified patients and three bookings, a conversion rate of three and a half per cent. enquiries from patients 85 qualified, and able to pay 72 booked a treatment 3
Three and a half per cent, against a ten per cent target. Most of the loss was not price, and it was not the surgeon.

They were qualified when they arrived

Seventy-two of the eighty-five wanted the right procedure, were able to pay, and were serious enough to answer questions. The enquiries were not the problem.

They went quiet in the gaps

An evening with no reply, a scan nobody chased, a question left over a weekend. Each gap loses a few more, and the ones you lose never say so.

The booking happens weeks after the enquiry

Nobody flies abroad for surgery on the day they first ask about it. They research, compare, talk to family, wait for a payday. Front Desk stays with them across that whole period.

An enquiry followed up over ninety days Two lanes over the same ninety days. Without follow-up an enquiry receives one reply on day zero and nothing after. With Front Desk the same enquiry is answered on day zero, the scan chased on day two, dates offered on day nine, checked in on day thirty and reopened on day ninety. Without follow-up one reply, then silence With Front Desk five touches, same enquiry enquiry goes quiet Day 0 first reply Day 2 scan chased Day 9 dates offered Day 30 checked in Day 90 reopened
Follow-up runs at a sensible local hour and inside WhatsApp's messaging rules, so it reaches people without becoming the clinic that pesters them.

It chases what is missing

The X-ray a patient promised, the medication list they half finished, the passport name that does not match the booking.

It reopens cold enquiries

The ones from four months ago nobody had time to return to. Politely, once, and only where the messaging rules allow it.

It never makes anyone repeat themselves

It reads the whole history before replying, so a patient who explained their knee in March is not asked about it again in May.

How it works

It reads from documents you own and writes into systems you already run. Your CRM stays the system of record.

How a patient message travels through Front Desk A patient message arrives on the hospital’s own WhatsApp number and reaches Front Desk, which reads from the hospital’s price list, surgical calendar and signed surgeon rules. It produces four outcomes: an answer inside five minutes, a record written to the hospital CRM, clinical questions sent to a secure form on the hospital’s own domain, and a handover to a coordinator for anything unclear. Patient message any hour, any day Your hospital’s own WhatsApp number contacts and history kept Front Desk reads only from your price list your surgical calendar your surgeons’ rules Answers the patient inside five minutes Writes the record to your CRM Sends clinical questions to a secure form on your own domain Hands anything unclear to a coordinator
Clinical content leaves WhatsApp by design. Meta's business policy forbids requesting health information where regulation imposes heightened handling, and GDPR Article 9 meets that condition.

Quotes your prices

From the price list you give it, with the inclusions and the exclusions in the same message. It never estimates and never invents a figure it does not hold.

Offers real dates

Against your surgical calendar, so a patient can plan flights in the same conversation instead of waiting a week to learn what is free.

Screens against your surgeons' rules

It reads a height and weight the way patients give them, "fourteen stone three" included, and confirms what it understood before using it.

Builds the surgeon's packet

Screening, imaging, medications and history assembled in the order your surgeons read them, so clearance is a decision rather than an excavation.

Answers the travel questions

Which airports reach you, how long the transfer is, how soon a patient can fly home. The second most asked question, and one that quietly loses people.

Speaks like your team

It says it is an AI once, at the start, because European law requires the patient to know. After that it writes like a colleague, with no marketing register and no four-question interrogations.

Hands over early

Escalation is a success state. A coordinator can take a thread over mid-sentence without the patient seeing a seam.

The line it cannot cross

Front Desk is a receptionist, not a clinician. Four limits sit outside the model's reach and cannot be configured by you, by a patient, or by anyone who works out how to phrase the question.

Front Desk handles this

Scheduling, information, logistics, paperwork.

  • Quoting a price and what it includes
  • Offering and holding a surgery date
  • Collecting screening answers and documents
  • Travel, transfers and recovery logistics
  • Chasing what a surgeon is still waiting for

Only your clinicians do this

Anything that assesses a person rather than processing a request.

  • Saying whether a patient is suitable, even as a hint
  • Judging how urgent or how serious something is
  • Reading an X-ray, a scan or a blood result
  • Advising on starting, stopping or timing a medication

These limits are what keep Front Desk classed as an administrative system carrying a transparency obligation. A system that assesses whether a person should have surgery is a regulated medical device, with conformity assessment and a notified body attached to it. The classification follows what a system does rather than what it is called.

It writes nothing to a patient for the first month

Autonomy is earned one rung at a time on measured performance, and you sign off every promotion.

S0

Shadow

It drafts and nothing reaches a patient. Every draft is logged beside what your coordinator actually sent, so you compare it against your own standard rather than against a demo.

S1

Assisted

It drafts and a coordinator approves each message before it sends. Most of the editing at this stage is tone, and it learns your house style from it.

S2

Narrow

It sends unaided on a named list: first response, prices, logistics, common questions, follow-up reminders. Everything else still waits for a person.

S3

Broad

It sends unaided across the full non-clinical surface. Some clinics will never want this rung, and that is a legitimate place to stop.

Where your patients' words are kept

You process special-category health data about European residents. Your data protection officer will ask these four questions.

The model runs in Frankfurt

Claude on AWS Bedrock in eu-central-1. We ruled out the model APIs that cannot keep inference inside the EU, which is most of them.

Message content stays in Europe

WhatsApp Cloud API local storage pins content at rest to Germany. It has to be set before the number is registered, which is one reason the setup is done with you.

The clinical half never touches WhatsApp

Screening answers and imaging move to a secure EU-hosted form on your own domain. Most tools in this category ignore this.

Every outcome is replayable

An append-only log records each message and the rules in force when it was sent. If a patient or a regulator asks what happened in March, the answer is reconstructed rather than remembered.

What clinics ask us first

Does it replace our coordinators?

No. It covers the hours they cannot and does the chasing that gets postponed whenever a patient is in the building. Your coordinators keep every conversation that needs a person.

Will patients know it is not a person?

Yes, and they are told once at the start, because European law requires it. If someone asks directly, it answers honestly and immediately. After the disclosure it stops announcing itself and writes like a member of your team.

How much more will we convert?

We do not know yet, and any number on this page would be invented. We measure your real first-response time and booking rate from your own CRM before anything is built, then report against that baseline. If speed and follow-up are not your leak, we tell you inside the first fortnight.

What does it cost?

A monthly retainer set against your local cost base rather than a UK one. Founding clinics agree the number with us, and there is no per-message or per-enquiry charge.

What we need from you

This is an install rather than a signup, so it is worth knowing what it costs you in attention before you ask for a place.

Your surgeons, once

Every operating surgeon has eligibility rules and they are almost never written down. Getting them onto paper as thresholds, hard or soft, with an owner and a date, is a real afternoon of senior time. There is no screening without it.

Someone who owns the knowledge

About half a day a week from a person who will keep prices, surgeons and procedures true.

Control of your WhatsApp number

The number and the Meta Business account behind it, held by you rather than by an agency who set it up years ago.

Read access to your CRM

Before we build, so the baseline is measured rather than assumed.

A data protection agreement

An Article 9 basis for what is collected, a DPIA, and a named owner on your side. We bring the drafts.

Three founding clinics.

Front Desk is built with the first clinics that run it, which means an unusual amount of our attention and an unusual amount of your influence over what it becomes. It also means you are early, and early has a cost as well as a price.

Clinics and hospitals treating patients from abroad, arriving in English, with more enquiries than the team converts.

What a founding place includes

  • Your response time and booking rate measured from your own CRM before anything is built
  • Your surgeons' eligibility rules authored, signed and versioned, yours to keep
  • A month in shadow mode before a patient sees a single message
  • Installed on your number, in your name, writing to your CRM
  • A monthly retainer set against your local cost base, agreed with you
